The presenting author of an accepted abstract must register and attend MSWashingtonDC2020. The presenter registration deadline is Wednesday, July 1, 2020. Presenters not registered by the deadline date will be dropped from the program. To register, please visit the Registration page.
Please note that all presenters are responsible for their own registration, accommodation and travel expenses.
ACTRIMS has secured special discounted rates with hotels near the Walter E. Washington Convention Center. Hotels will fill quickly, so we encourage you to book hotel accommodation early in order to take advantage of these special rates. Deadline to book hotel accommodation is Friday, August 7, 2020 (subject to availability). Hotel accommodation can be booked at the same time as your Registration. If you are a non-U.S. citizen, don’t delay in applying for a visa for entry into the United States. Such arrangements are the responsibility of conference attendees. Visit the U.S. Department of State’s website for more information on obtaining a visa. An official Letter of Invitation to obtain a Visa can be requested by contacting email@example.com. The letter will be issued ONLY after registration has been completed and full payment received.
Please note that the Letter of Invitation is intended to help obtain a visa and is not a guarantee of visa approval. ACTRIMS cannot intervene on behalf of the invitees with an U.S. Embassy or Consulate.
If more than one of your abstracts are accepted and scheduled for presentation during the same session, please consider having a co-author present one of the abstracts.
An accepted abstract should be withdrawn only under extraordinary circumstances. If you are unable to find a replacement presenter and must withdraw your presentation, please notify us immediately at firstname.lastname@example.org.
Abstracts and featured research accepted for presentation are embargoed until published on the MSWashingtonDC2020 online program and mobile app. Full text of Regular Abstracts will be published on Friday, August 28, 2020. Full text of Late Breaking Abstracts will be published on the first day of the meeting (Saturday, September 9, 2020).
Distributing news and information about MSWashingtonDC2020 through social media is encouraged within the embargo restrictions. Please use the official congress hashtag in all social media posts: #MSDC2020
PREPARATION OF POSTERS
The maximum poster size is 3.5 FT HIGH X 6 FT WIDE. The poster should fit within the display area in landscape orientation.
Presenting authors of accepted posters will be asked to submit a PDF file of their poster for viewing on ePoster displays at the meeting and on the MSWashingtonDC2020 online program and mobile app during and after the meeting. Deadline for ePoster submission is Monday, August 31, 2020.
If you do not wish to have your poster included on the online program or mobile app, please indicate during submission of your materials.
POSTER SESSIONS SCHEDULE
There will be two poster sessions during MSWashingtonDC2020. The sessions will be held in Hall B at the Walter E. Washington Convention Center. Poster presenters must stand by their posters during their assigned poster session.
Poster Session 1: Thursday, September 10, 15:00 - 16:30
Poster Session 2: Friday, September 11, 14:30 - 16:00
POSTER MOUNTING AND REMOVAL
Poster numbers will be displayed at each poster board; please mount your poster under your poster number. Pins to affix the posters will be provided.
Poster presenters who are assigned to Poster Session 1 may mount their posters on Thursday, September 10 beginning at 7:00 in Hall B.
Poster presenters who are assigned to Poster Session 2 may mount their posters on Friday, September 11 beginning at 7:00 in Hall B.
Meeting attendees will have access to Hall B from 8:00 to 17:00. We encourage you to mount your poster early to increase exposure and interest in your research. All posters MUST be mounted by the start of their poster session.
Presenters who wish to take their posters home should plan to personally remove their posters by the end of their scheduled poster session. All posters remaining after the designated removal times will be placed on a poster drop-off table in Hall B and discarded by the end of the meeting.
POSTER PRINTING SERVICE
MSWashingtonDC2020 has partnered with Learner’s Digest International to provide poster presenters the opportunity to create their poster online using the Call4Posters® service. It is NOT required for presenters to use this poster service; however, it is strongly recommended. The Call4Posters® service offers:
Presenting authors will receive an email from Call4Posters® once their poster is accepted. This will include a link and instructions on how to prepare and upload posters for printing.
PREPARATION OF PRESENTATIONS
Please check in at the Speaker Preparation Room the day before or at least 2 hours prior to your scheduled presentation. This will allow you to review your PowerPoint presentation, submit any changes to your presentation and receive assistance from technical staff if needed. Presenters are not allowed to bring their PowerPoint presentation directly to the session room. It must be uploaded to the online submission system beforehand.
Once your PowerPoint presentation has been confirmed, the technical staff will be responsible for its delivery to your session room. All session rooms will be equipped with a presentation computer, projector and screen. With touch screen control at the lectern, you will be able to simply touch "next slide" or "previous slide".
Please be in your session room 15 minutes before the start of the session. We recommend checking in with the Session Chairs prior to the beginning of your session.
