What will be the new format of the Joint ACTRIMS-ECTRIMS Meeting? MSVirtual2020 will include plenary sessions, invited speakers and platform presentations of abstracts, poster presentations, teaching courses, and industry supported satellite symposia, both scheduled and on-demand, with a virtual exhibition and networking opportunities integrated throughout.
Will the virtual meeting take place over the original dates? MSVirtual2020 will take place over a similar timeframe in September. Additionally, an online library of all the sessions and content will remain open for an extended period to allow registered participants access anytime.
I am an exhibitor/sponsor. How does this affect me? Exhibitors, sponsors and other partners will be contacted directly.
REGISTRATION, HOUSING & TRAVEL
How do I register for the virtual meeting? Registration for MSVirtual2020 will open on Tuesday, June 30, 2020.
Is there group registration? Yes, please contact the Group Registration Manager at firstname.lastname@example.org for more information.
Will the registration fees change now that the meeting is virtual? Yes, registration fees for the virtual meeting will be announced in the coming weeks.
I already registered for MSWashingtonDC2020; what do I need to do? If you plan to participate in the virtual meeting, no action is required, and your registration will be automatically transferred to MSVirtual2020. Any excess paid registration fee will be refunded back to your original method of payment.
I already registered for MSWashingtonDC2020 and do NOT want to participate in the virtual meeting. Do I get a full refund? If you would like to cancel your registration completely, please contact the Registration Manager at email@example.com. Refund requests must be received on or before Friday, June 5, 2020. All cancellation fees will be waived.
I already booked my travel; do I get a reimbursement for these costs? Delegates are responsible for cancelling their airline tickets. Each airline has its own policies regarding refunds and vouchers for future travel. We advise you to contact your airline or travel agency for further details.
I already booked my hotel accommodation; do I get a refund of the deposit paid? All individual hotel reservations booked through MSWashingtonDC2020’s official housing bureau will be cancelled automatically. A deposit was not paid at the time of reservation.
Delegates who booked housing through other sources or directly with hotels are responsible for cancelling their own reservations.
I am a group organizer and have booked multiple hotel rooms; do I get a refund? Group organizers will be contacted directly by the housing bureau in the coming weeks.
Will the scientific program change now that the meeting is virtual? Where can I check for updates? To the extent possible, the scientific program will remain unchanged. The MSVirtual2020 Program at a Glance will be available in the coming weeks.
I am an invited speaker; should I still prepare my scientific presentation? Yes, we are actively planning a virtual program and will communicate details in the coming weeks.
I already submitted an abstract; what happens now? Review and final selection of abstracts by the Congress Planning Committee will take place in July. You will be notified in early August if your abstract is accepted for presentation at MSVirtual2020.
I am still interested in submitting an abstract; how does this change now that the meeting is virtual? The Scientific Program Committee continues to welcome the submission of abstracts for presentation at MSVirtual2020. A few changes to note:
The Regular Abstract submission deadline now is July 15, 2020.
The submission deadline for Late Breaking Abstracts and COVID-19 Abstracts is August 13, 2020.
With other international meetings forced to cancel due to COVID-19, MSVirtual2020 will consider encore abstracts published by a cancelled meeting, as long as the research described has not been formally presented (including as a virtual platform, electronic poster, or other format). We encourage abstracts that contain original material not published at the time of submission.
